Set up a shared desk tablet

A shared desk tablet is one tablet for the whole desk. It is your till, and it is also the front desk: each person taps their name and types their own PIN, so every check-in is recorded with the right name.

You need an organization admin or a Front of house manager for this, and a tablet with a current web browser. For reading wristbands, use an Android tablet with Chrome; on an iPad, staff type the number printed on the band.

  1. In the admin console, go to Organization → Devices and choose Add device.

  2. Fill in Add a device:

  3. Choose Add and show code. You may be asked to confirm it’s you first. You’ll see a six-digit code that works once, for ten minutes.

  4. On the tablet, open your staff address. It shows the till’s pairing screen, Pair this screen.

  5. Type the code and tap Pair. The tablet restarts as your till, with Front desk at the top.

Tap Front desk: your team’s names appear. Each person sets their own PIN the first time (see Use the shared desk tablet).

A manager can do these on the tablet itself, with their own password:

Situation What to do
A person is locked after too many wrong PINs Tap their name, then tap your name and enter your password. Choose Let them try again.
“PIN sign-in is paused… Nothing is broken.” (too many wrong PINs on this tablet) Tap A manager can unpause this, tap your name and enter your password. Staff can still sign in with their password meanwhile.
Someone forgot their PIN or thinks it’s known No manager needed: they tap their name, then Forgot your PIN? Choose a new one, and save the new PIN with their own password.

Locks also clear themselves: a person after 15 minutes, a paused tablet after a few minutes. Clear lock on the tablet’s row in Devices does the same from the console.

On Organization → Devices, open the tablet’s menu and choose Revoke, with a reason. It stops working at its next refresh and shows its pairing screen. It stays in the list (and in the audit log) so past check-ins keep its name. Then add the replacement as a new device.

Re-pair (new code) is for the same tablet when it has lost its pairing (for example, after its browser data was cleared). The tablet keeps working on its current pairing until the new code is used.

Alert if it goes quiet tells our support team when the tablet hasn’t been heard from for five minutes. Leave it off if the tablet is switched off at closing.
