Manage staff phones and devices
Every screen and phone your team uses is on one page: Organization → Devices in the admin console. You need to be an organization admin or a Front of house manager to see it.
What’s on the page
Section titled “What’s on the page”Each row shows the device’s Name, its Kind, its Status and when it was Last seen.
| Kind | What it is |
|---|---|
| Kitchen or till screen | a kitchen board or a till, paired with a code |
| Shared device | a desk tablet staff sign in on by name and PIN |
| Kiosk | the lobby check-in tablet guests use themselves |
| Personal phone | a staff member’s own phone. They add it themselves by signing in at the front desk; you don’t add phones here. |
| Status | Means |
|---|---|
| Online | a screen that has checked in within the last few minutes |
| Quiet | a screen not heard from for more than 5 minutes: check it’s on and connected |
| Trusted | a staff phone that is signed in for the front desk |
| Waiting to pair | added, but its code hasn’t been typed in yet |
| Locked | sign-in paused after too many wrong tries; Clear lock lifts it |
| Revoked | no longer works; kept in the list for the record |
Phones never show Quiet: a phone in a pocket is silent by design.
Tell devices apart
Section titled “Tell devices apart”Each device has a short code next to its name, for example 4F7A2C. The same code shows on
the device itself: on a staff phone, under Sign out, and on a till or kitchen screen. When
someone asks “is that my phone?”, compare the codes.
New phones are named after their owner and their browser, such as Jane S. · Pixel 8 · Chrome. Choose Rename from a row’s menu to give any device a clearer name.
Remove a device
Section titled “Remove a device”Choose Revoke from the row’s menu and say why (for example Phone lost). The device stops working at its next refresh. A till or tablet shows its pairing screen; a phone goes back to Sign in to check guests in.
Revoked devices stay in the list, hidden unless you turn on Show revoked devices, so past check-ins keep the name of the device they were done on. To use a revoked device again, add it as a new device.
Changes ask you to confirm it’s you
Section titled “Changes ask you to confirm it’s you”Adding, re-pairing, clearing, renaming and revoking devices each ask you to Confirm it’s you first: your password, or your two-step code or passkey. This keeps someone at an unattended computer from pairing a device into your venue.
The list refreshes itself every minute while it’s open; Refresh updates it straight away.
